WhatsApp Invitations and Notifications

In addition to SMS and Emails, communications can be sent to the invitees via WhatsApp messages as well. WhatsApp provides a better experience and robust delivery.
WhatsApp can be activated for the invitees with their phone numbers. Once activated they will receive WhatsApp messages instead of SMS. (Not applicable if the phone number isn't available on WhatsApp)

Activating the WhatsApp Invitations and Notifications in Account Settings

Step 1: Click on the “Account” option then go into the ‘Department’ tab and then click on the ‘Invitee configurations’



Step 2: Switch on the ‘ Enable WhatsApp for Communications with Signers’ toggle


How to Enable WhatsApp Notifications for an Invitee

Follow the steps mentioned below to activate the WhatsApp invitation and other notifications for an invitee. The process of enabling WhatsApp notification is the same in the new document flow and workflow.
  1. On the invitee page, enter the invitee's phone number to send the document for signing or reviewing.
  2. After that, make sure the Activate WhatsApp toggle in enabled.


      3. In the invitee level options, turn on Send WhatsApp Notification option.
      4. Click Save.


Turn on ‘Send WhatsApp Notification’ under the invitee level options 



In case the expiry day is more than 2 days and WhatsApp is enabled for at least 1 invitee, the user will be shown a warning as below.



Note: The expiry of the document can be changed, click here to know the steps to change the expiry of the document


How WhatsApp Notifications Work?

When Activate WhatsApp toggle is Enabled for an invitee:


  • Mandatory notifications, like completion notifications and manual reminders, will always be sent via both SMS and WhatsApp, regardless of whether you’ve enabled WhatsApp or SMS notifications in the invitee level options.


  • Non-mandatory notifications, like automatic reminders, will be sent to invitees based on the selection of WhatsApp and SMS notifications in the invitee level options.

WhatsApp Notification & Messages


Click on “eSign Now” button to sign the document.

The invitee will receive other messages too such as reminders, expiry, and completion notifications.
